Third-Party Event Policy

and Guidelines  

Thank you for your dedication to KARMA’s promise to keep pets with their families! We are so grateful for your time and assistance by holding an event benefiting KARMA Rescue. Any individual or organization (outside of KARMA Rescue) that hosts an event, promotion, sale or donation drive on behalf of KARMA Rescue is defined in this document as a “third-party fundraiser.” 

Please review this document prior to submitting your Fundraising Event Proposal Form. Fundraising Event Proposal Forms should be submitted at least 30 days before your fundraising event.  

 

Third Party Fundraiser Guidelines 

Event Preparation Guidelines 

1. Fundraising events in aid of KARMA Rescue should reflect positively on KARMA Rescue’s mission to end economic euthanasia and elevate the human-nonhuman animal bond by building healthy, humane communities. KARMA Rescue reserves the right to decline any fundraising proposal for any reason.  

2. KARMA Rescue will not assume any legal or financial liability for the third part event. It is the third-party fundraiser’s responsibility to arrange insurance, contracts, permits, vendor agreements and liquor licenses if applicable.  

3. Third party fund raiser shall indemnify, defend, and hold harmless KARMA from any and all claims, loss, cost, expense, liability, and damage arising from or out of the event. 

4. KARMA Rescue must approve any co-beneficiaries prior to approval of the third-party event. 

5. KARMA Rescue cannot contribute financially to any third-party fundraising. All event expenses are the responsibility of the third-party fundraiser and must be paid before the proceeds are given to KARMA Rescue. KARMA Rescue will not refund or reimburse after a donation is made.   

6. The third-party fundraiser is responsible for promoting the fundraising event. All marketing materials and text about KARMA Rescue must first be approved by the Marketing Director or the Executive Director of KARMA Rescue prior to being posted.  

7. Third-party fundraisers must be transparent in stating the portion of proceeds that will be donated to KARMA Rescue and list KARMA Rescue as a beneficiary on all promotional materials.  

8. Any conversations with the press regarding KARMA Rescue and the event must be approved by a KARMA Rescue representative first.  

Event-Day Guidelines 

1. KARMA Rescue retains the right to have a representative present at the event, depending on availability. 

2. A KARMA Rescue email sign-up list is required to be displayed for guests entering the event. This list will be emailed to you.  

Post-Event Guidelines 

1. All donations received at or prior to the event are required to be given to KARMA Rescue within 7 business days of the event. Checks may be mailed to us or donations may be processed online at www.karmarescue.org/donate. Cash must be picked up at your location or dropped off with a KARMA Rescue staff member.  

2. The third-party event organizer is required to send a brief overview of the event after it has occurred, including number of attendees, total revenue generated, a complete list of sponsors, and photos from the event. KARMA Rescue reserves the right to post about the event on its website and social media with this information. 

3. The KARMA Rescue email sign-up list must be submitted with the post-event overview. 

FAQs 

Can KARMA Rescue provide planning and coordination help for the event? 

KARMA Rescue staff are available to offer guidance on event planning and fundraising, but we rely on you to plan and coordinate all details of the third-party fundraiser and provide all administrative support for organizing the event.  

Will staff or volunteers attend the event? 

Attendance at the event by a KARMA Rescue staff member or volunteer will be reviewed on a case-by-case basis and depends on availability.  

Can KARMA Rescue bring animals to the event? 

KARMA Rescue is unable to provide animals to appear at any events.  

How will KARMA Rescue help me market the event? 

KARMA Rescue will provide our logo for your marketing materials. Newsletter and/or social media posts about the fundraiser may be available on a case-by-case basis. KARMA Rescue is unable to offer publicity such as newspaper, radio, television, etc. and for privacy reasons KARMA Rescue cannot share contact details of our supporters. 

Will KARMA Rescue reimburse me for any fees incurred for hosting the event? 

KARMA Rescue cannot provide any funding or reimbursement related to expenses, any insurance or liability coverage or a liquor license for a third-party event.  

Can KARMA Rescue provide literature to share at my event? 

KARMA Rescue can provide you with flyers to give out at your event.
